Terms and Conditions for
Surf Cup Tour Registration

The following details outline the terms and conditions for participants attending the Surf Cup tour.

Disclaimer: Final details regarding trip dates, cost, accommodations, transportation, itinerary, tournament schedules, and other trip specifics may be subject to change as additional information becomes available. FCNE will communicate material updates to registered participants.

 

These Trip-Specific Terms and Conditions apply specifically to the FCNE Surf Cup International – Spain 2026 tour and should be reviewed together with the FCNE General Terms & Conditions, which can be accessed by selecting “Terms & Conditions” in the footer of the FCNE website.

 

If these Trip-Specific Terms conflict with FCNE's General Terms & Conditions regarding a matter specific to this tour, these Surf Cup International – Spain 2026 Terms & Conditions will control.

 

1. Introduction

 

These Terms and Conditions ("T&C") apply to all individuals registering for, purchasing, participating in, or accompanying a participant on the FCNE Surf Cup International – Spain 2026 tour.

 

By registering or submitting payment, participants and/or purchasers acknowledge that they have read, understood, and agree to these Terms and Conditions and the applicable FCNE General Terms & Conditions.

 

2. Registration

 

  • All participants must complete the registration process and provide accurate and truthful information.

  • The individual completing registration is responsible for ensuring that information submitted for themselves and any travelers registered on their behalf is accurate.

  • FCNE reserves the right to terminate or deny a participant's eligibility for the tour if falsified, materially inaccurate, or misleading information is provided.

  • Registration is subject to applicable roster availability, eligibility requirements, payment requirements, and other conditions established by FCNE.

 

3. Pricing and Payments

 

  • Tour costs may vary based on factors including group size, accommodations, transportation, tournament fees, exchange rates, and other tour-related expenses.

  • Participants will be informed of the applicable tour cost during the registration process.

  • Payment schedules and applicable deadlines will be communicated during registration, and participants are responsible for adhering to all stated payment deadlines.

  • Late or missed payments may incur additional fees or penalties as specified in the applicable payment schedule.

  • Participants are responsible for reviewing the services and accommodations identified as included and excluded from their Surf Cup International – Spain 2026 package.

 

4. Accommodations

 

  • Tour pricing is based on triple-room occupancy unless otherwise specified.

  • Room upgrades may be available upon request for an additional cost and are subject to availability.

  • Hotel properties, room configurations, and other accommodation details may be subject to change based on availability, group requirements, or circumstances outside FCNE's reasonable control.

 

5. Airfare, Flight Disruptions, and Transportation

 

  • Airfare to and from Spain is not included in the FCNE tour cost unless expressly stated otherwise.

  • Participants are responsible for arranging and purchasing their own airfare and ensuring timely arrival at the designated tour starting point.

  • Participants should not book airfare until instructed to do so by FCNE.

  • Participants are responsible for ensuring that their flight arrangements comply with arrival and departure dates, times, locations, or other travel instructions communicated by FCNE.

  • FCNE may recommend or provide access to an approved airfare provider, travel agency, booking platform, or other travel partner for the convenience of participants. Any airfare purchased through a recommended provider, travel partner, booking platform, or airline is subject to that provider's individual terms, conditions, cancellation policies, and refund policies.

 

Flight Cancellations, Delays, and Disruptions

 

All airfare is purchased at the purchaser's own risk.

 

FCNE is not an airline, travel insurer, travel agency, or air transportation provider and is not responsible or liable for:

 

  • Flight cancellations;

  • Flight delays;

  • Airline schedule changes;

  • Missed or canceled connections;

  • Flight diversions;

  • Airline operational disruptions;

  • Lost, delayed, or damaged baggage;

  • Airline staffing or labor disruptions;

  • Weather-related airline disruptions; or

  • Other circumstances affecting a participant's air travel.

 

This applies whether airfare is booked independently or through an FCNE-recommended provider or partner.

 

Participants are responsible for working directly with the applicable airline, airfare provider, travel agency, credit card provider, and/or travel insurance carrier regarding rebooking, refunds, reimbursements, compensation, or other remedies resulting from an air-travel disruption.

 

Any additional expenses resulting from a flight cancellation, delay, missed connection, schedule change, or other travel disruption—including, but not limited to, hotels, meals, replacement airfare, ground transportation, or incidental expenses—are the responsibility of the participant or purchaser unless reimbursed by the airline, travel provider, or travel insurance carrier. FCNE is not responsible for reimbursing these expenses.

 

A flight cancellation, delay, missed connection, schedule change, or other transportation disruption does not alter FCNE's cancellation and refund policies and does not automatically entitle a participant to a refund, credit, or reimbursement of FCNE tour fees.

 

Transportation to or from accommodations outside FCNE's specified travel dates, times, locations, or designated transportation arrangements is not included in the tour cost and is the participant's responsibility.

 

6. Cancellations and Refunds

 

Cancellation policies apply once registration is complete. The following cancellation terms apply specifically to Surf Cup International – Spain 2026:

 

  • Deposits are non-refundable.

  • Cancellations after July 1, 2026 incur a $500 penalty per traveler.

  • Cancellations after August 1, 2026 incur a $1,000 penalty per traveler.

  • Cancellations after September 1, 2026 incur a $1,500 penalty per traveler.

  • No refunds will be issued for cancellations after September 15, 2026.

  • Refunds are not provided for missed events, games, activities, accommodations, transportation, excursions, late arrivals, early departures, or voluntary withdrawals from the tour.

  • Portions of the tour missed because of flight cancellations, flight delays, missed connections, schedule changes, or other transportation disruptions are not eligible for a refund from FCNE.

  • A participant's inability to travel because of circumstances outside FCNE's reasonable control does not supersede the cancellation and refund schedule above.

  • Any applicable refund will be calculated according to these Surf Cup International – Spain 2026 cancellation terms.

 

7. Travel and Medical Insurance

 

FCNE strongly encourages all participants to obtain comprehensive travel and medical insurance appropriate for international travel.

 

Participants should consider coverage for:

 

  • Trip cancellation;

  • Trip interruption;

  • Flight cancellations and delays;

  • Missed connections;

  • Replacement airfare;

  • Lost or delayed baggage;

  • Emergency medical treatment;

  • Medical evacuation;

  • Unexpected accommodations or transportation; and

  • Other unforeseen travel expenses.

 

Participants are responsible for reviewing and understanding the terms, exclusions, coverage limits, deadlines, documentation requirements, and claims procedures associated with any insurance policy they purchase.

 

FCNE does not guarantee that any particular loss, cancellation, disruption, illness, injury, or expense will be covered by a participant's travel insurance.

 

FCNE is not responsible for losses or expenses that a participant elects not to insure or that an insurance provider declines to cover or reimburse.

 

8. Itinerary and Tournament Changes

 

  • International travel and tournament participation may require changes to schedules, accommodations, transportation, activities, excursions, games, or other itinerary components.

  • FCNE reserves the right to make reasonable itinerary adjustments when necessary due to tournament scheduling, vendor availability, transportation requirements, weather, safety considerations, operational needs, or circumstances outside FCNE's reasonable control.

  • Tournament schedules, opponents, game times, venues, advancement opportunities, competition formats, and results may be determined by Surf Cup International or other third parties and are not guaranteed by FCNE.

  • FCNE will make reasonable efforts to communicate significant itinerary changes to participants when information becomes available.

 

9. Code of Conduct

 

  • Players, parents, guardians, family members, guests, and other participants traveling with FCNE must exhibit respectful, responsible, and appropriate behavior throughout the tour.

  • Participants are expected to follow reasonable instructions provided by FCNE directors, coaches, guides, tournament officials, transportation providers, hotels, and other authorized personnel.

  • Conduct that FCNE reasonably determines threatens safety, substantially disrupts the tour, violates applicable rules or laws, or negatively affects other participants may result in removal from activities or the tour.

  • When removal is necessary because of participant misconduct, FCNE may deny a refund to the extent permitted by applicable law.

  • Any additional airfare, accommodations, transportation, or other expenses resulting from removal due to misconduct are the responsibility of the participant or purchaser.

  • Serious conduct concerns involving a player, parent, guardian, or accompanying traveler may be considered when determining eligibility for future FCNE tours.

 

10. Traveling With Minors

 

  • Players are required to travel with an adult parent, guardian, or designated chaperone who is responsible for their supervision throughout the tour unless otherwise approved by FCNE.

  • Players wishing to travel without an accompanying parent, guardian, or designated chaperone must contact their FCNE Director and receive approval before travel arrangements are finalized.

  • Parents and legal guardians are responsible for ensuring minors have all documentation, permissions, passports, visas, consent forms, and other materials required for international travel.

 

11. Passports, Visas, and International Travel Documentation

 

  • Participants are responsible for obtaining and maintaining valid passports, visas, travel authorizations, identification, consent documentation, and any other documentation required to enter, transit through, and depart Spain and any other country included in their travel itinerary.

  • Participants are responsible for verifying passport validity and applicable destination and transit-country requirements sufficiently in advance of travel.

  • FCNE may provide general reminders or travel information as a convenience but does not guarantee an individual's eligibility to travel, board an aircraft, enter Spain, or transit through another country.

  • FCNE is not responsible for losses, missed travel, denied boarding, denied entry, or additional expenses resulting from expired, insufficient, inaccurate, or missing travel documentation.

 

12. Health, Safety, and Medical Care

 

  • Participants are responsible for determining whether they are medically and physically able to participate in the tour, tournament, and associated activities.

  • Participants are responsible for medications, prescriptions, medical equipment, and other personal health needs required during travel.

  • In an emergency, FCNE representatives may assist participants in obtaining appropriate medical attention when reasonably possible.

  • Medical expenses incurred during the tour are the responsibility of the participant or their parent/guardian unless otherwise covered by applicable insurance.

  • FCNE cannot guarantee the availability, quality, location, or cost of medical services in Spain or another travel destination.

 

13. Third-Party Providers

 

FCNE's Surf Cup International – Spain 2026 tour may involve services supplied by independent third parties, including airlines, hotels, transportation companies, tournament organizers, restaurants, guides, excursion operators, travel agencies, and other vendors.

 

These providers are independent entities and may maintain their own terms, conditions, schedules, rules, cancellation policies, and liability limitations.

 

To the extent permitted by applicable law, FCNE is not responsible for acts, omissions, cancellations, delays, service failures, or other circumstances attributable to independent third-party providers that are outside FCNE's reasonable control.

 

 14. Limitation of Liability

 

To the extent permitted by applicable law, FCNE is not responsible for injuries, losses, damages, expenses, delays, cancellations, or disruptions arising from circumstances outside FCNE's reasonable control or from the acts or omissions of independent third parties.

 

Participants acknowledge that international travel and athletic participation involve inherent risks and circumstances that may be outside FCNE's reasonable control.

 

Nothing in these Terms and Conditions is intended to waive or limit any right or liability that cannot lawfully be waived or limited.

 

15. Force Majeure and Events Beyond FCNE's Control

 

FCNE is not responsible for failure or delay in fulfilling its obligations when caused by events beyond its reasonable control, including but not limited to:

 

  • Severe weather or natural disasters;

  • Pandemics, epidemics, or public-health emergencies;

  • Government actions, restrictions, or border closures;

  • War, terrorism, or threats thereof;

  • Civil unrest;

  • Strikes or labor disruptions;

  • Transportation interruptions;

  • Airline cancellations or operational disruptions;

  • Tournament cancellation, postponement, or schedule changes;

  • Infrastructure failures; or

  • Other events that FCNE could not reasonably prevent or control.

 

Flight cancellations, delays, airline operational disruptions, and schedule changes caused by third parties or circumstances outside FCNE's reasonable control do not create an obligation for FCNE to reimburse airfare or other expenses incurred by participants.

 

Any refund or credit associated with the cancellation or material alteration of the FCNE Surf Cup International – Spain 2026 tour itself will be governed by the cancellation provisions of these Terms and Conditions and applicable law.

 

16. Relationship to FCNE General Terms & Conditions

 

These Terms and Conditions apply specifically to the Surf Cup International – Spain 2026 tour.

 

Participants and purchasers are also subject to the FCNE General Terms & Conditions, which apply to FCNE tours generally and can be accessed at any time by selecting “Terms & Conditions” in the footer of the FCNE website.

 

If a provision of these Surf Cup International – Spain 2026 Terms and Conditions conflicts with FCNE's General Terms & Conditions regarding a matter specific to this tour, these Trip-Specific Terms and Conditions will control.

 

17. Disputes and Governing Law

 

  • These Terms and Conditions and disputes relating to participation in the Surf Cup International – Spain 2026 tour will be governed by the law identified in the applicable FCNE registration agreement, subject to applicable laws that cannot be contractually modified.

  • Any arbitration or other dispute-resolution requirements applicable to participants will be identified in the applicable registration agreement or FCNE General Terms & Conditions.

  • Nothing in these Terms and Conditions is intended to eliminate rights or remedies that cannot legally be waived.

 

18. Changes to Terms & Conditions

 

  • FCNE may update these Terms and Conditions when reasonably necessary to reflect changes to the tour, tournament, operations, vendors, travel requirements, or applicable law.

  • FCNE will communicate material changes affecting existing registrations to registered participants as appropriate.

  • Operational changes to schedules, hotels, transportation, games, activities, or other itinerary details may occur as contemplated by these Terms and Conditions.

 

19. Agreement and Acknowledgment

 

By registering for or submitting payment toward the FCNE Surf Cup International – Spain 2026 tour, the purchaser and participant acknowledge that they have had the opportunity to review:

 

  1. These Surf Cup International – Spain 2026 Terms & Conditions;

  2. The FCNE General Terms & Conditions, available by selecting “Terms & Conditions” in the footer of the FCNE website;

  3. The applicable tour pricing and payment schedule;

  4. The cancellation and refund policy;

  5. The services, accommodations, and transportation identified as included and excluded from the tour package; and

  6. The risks and responsibilities associated with international travel.

 

By completing registration or submitting payment, the purchaser and participant confirm that they have read, understood, and agree to these Trip-Specific Terms & Conditions and the FCNE General Terms & Conditions available through the Terms & Conditions link in the footer of the FCNE website.
